Tutoring Center Software Checklist: Admin, Teacher, Student, and Parent Portals

What tutoring center software should include across four roles: academy admin, teachers, students, and parents. Use this checklist before you buy a platform.

Most “tutoring software” lists are a grab bag: calendar, video, maybe invoicing. A center does not buy a calendar. It buys a way for four kinds of people to do their jobs without the owner becoming the switchboard.

Admin: can you run the business from one seat?

If branding is a logo pasted on a shared URL, it is not white-label. Families will still see the vendor. That is a marketplace with extra steps.

Teacher: can they teach without doing your admin?

Teachers leave platforms that make them feel like unpaid office staff. The teacher workspace should assume they are there to teach.

Student: is the next action obvious?

  • Find a tutor by subject and grade, then book a real slot.
  • One-click join for live class.
  • Homework help between sessions. An educational AI that hints and explains beats a chatbot that dumps the answer.
  • A place for credits, invoices, or the package the parent bought, so the student is not locked out by a billing mystery.

If students only get a video link, you do not have a student product. You have a meeting.

Parent: can a family with two kids stay sane?

  • One parent login for multiple children.
  • Visibility into schedules and attendance without sitting in the student account.
  • Billing in the parent seat: method on file, invoices, package changes.
  • No requirement that the parent also be the “student” in the LMS. Teenagers will not share that login for long.

Parent portals are how centers keep the buyer (the adult) and the learner (the child) from fighting over the same inbox. It is also how you stop refund arguments that start with “nobody told me the session moved.”

White-label, AI, and payments: the three extras that separate toys from software
