How to Hire and Onboard Online Tutors

How tutoring academies hire remote teachers, set availability, and onboard them under your brand instead of a marketplace profile.

· 8 min read

Hiring a tutor is not posting “math teacher needed” on a marketplace and hoping their profile becomes your brand. An academy hire is someone who teaches as you, on your schedule rules, in your classroom, with notes a parent can see.

Online makes the pool larger and onboarding sloppier. Without a teacher portal, new hires live in a shared spreadsheet and a personal Zoom account. That does not scale past three people.

Who to hire

  • Subject proof: transcripts, a sample lesson, or a short live demo on a real problem, not a vibe interview.
  • Reliability: tutoring dies on no-shows. Ask for a 90-day availability window you can actually staff.
  • Tone with families: a parent-facing note sample tells you more than a CV.
  • Legal basics: right to work, background checks where your market requires them, a contractor or employee decision with an accountant, not a blog post.

Onboarding in the product, not in a PDF graveyard

  1. Create the teacher in your admin seat. They should never share your owner login.
  2. Set subjects and grades they may teach so students cannot book the wrong roster.
  3. Have them publish recurring weekly slots, not a one-off “I’m free Thursday.”
  4. Walk accept, reschedule, join classroom, and notes on a dummy student.
  5. Send them teacher portal guidance if you use Launch Your Academy video guides.

The teacher workspace on the platform is built for availability and lessons, not for doing your bookkeeping. That split is how you keep good tutors.

Brand rules worth writing in one page

  • They teach as your academy in the room. Personal marketplaces during your hours are a conflict. Say so.
  • Files and notes stay in the student record.
  • Rate cards and discounts are yours to set. Tutors should not freelance your price in the chat.

Pay without turning into a marketplace

Pay per delivered session or a salary-like retainer. Do not take a hidden cut of a parent rate you advertised as “the academy price” unless that is an honest contractor split in the agreement. Parents paid you. The tutor is your capacity.

When you are adding a fourth and fifth tutor, you are in scale from one to ten territory. Book a demo if you want the four portals walked the way a coordinator will actually use them.
